These Terms of Use describe how municipalities, their employees, and authorised persons may work with the KI² digital municipal assistant in a responsible way.
These provisions govern the use of the digital municipal assistant provided by KI‑Quadrat Systemhaus GmbH (hereinafter referred to as the "Provider") by municipalities, their employees, and other authorized persons. The solution is designed to support internal administrative processes through a voice-activated information system with automated text processing. The aim is to increase the efficiency of public authorities through the use of data processing tools.
Access to this product is restricted to named users who are acting on behalf of the respective municipality. Use is permitted exclusively for official purposes within the municipal organization. The entry of illegal, confidential, or particularly sensitive data is prohibited. Misuse is strictly prohibited.
The digital community assistant is based on multi-stage computer-assisted language processing. The systems used process questions and automatically provide answers based on probabilities. The output is generated without human review, but is based on continuously updated rules and databases.
4.1 This is a high-quality and carefully developed AI product, but naturally without any guarantee of accuracy, completeness, or absolute error-free information provided.
4.2 The contents are therefore non-binding. A technical or legal review by a qualified specialist is always required.
4.3 No responsibility is assumed for damages resulting from the use of the information provided. Liability shall only apply in cases of proven intent or gross negligence on the part of the provider.
4.4 The user alone is responsible for checking and evaluating the information provided. Decisions based on the information provided are made at the user's own risk and responsibility.
5.1 Data processing within the scope of the community assistant. Technical access data, questions, answer content, and keywords used are stored. Personal data is only processed to the extent absolutely necessary for operation. No data is passed on to third parties.

5.3 Rights of data subjects: Data subjects have the right to access, rectify, erase, restrict processing, and object to the use of their data within the framework of applicable laws. To exercise these rights, the above-mentioned office may be contacted in writing.
5.4 Use of other contracted agencies: The provider may work with contracted service providers, such as technical support companies or data processors. However, these only receive access to the extent that is absolutely necessary and are each obliged to comply with strict legal regulations.
5.5 Storage period: Data will only be stored for as long as is necessary to fulfill the task or as required by law.
These Terms of Use, including the disclaimer and information on the protection of personal data, may be amended in the event of technical or legal changes. The current version is available on the provider's website.
The law of the Republic of Austria applies exclusively. The competent court at the provider's registered office shall have jurisdiction over any disputes arising from the use of the Community Assistant.
